What you put in the form — your name, contact details, course interest and message — is stored in our systems so a member of our team can follow up with you. It's also added to our CRM (HubSpot) so we don't lose track of your enquiry. That happens whether or not you tick the marketing box below — it's what lets us actually respond to you.
Enrolling means we also need details required for NZQA and TEC reporting — things like date of birth, NSN, and ethnicity, where applicable. This goes to SELMA, our student management system, and is used only for enrolment, assessment records, and the government reporting every NZQA provider is required to submit. We invoice through Xero for course fees.
If you tick the separate marketing box, we may email you about courses or offers. If you don't, we won't — we just use your details to handle the enquiry or enrolment itself. You can opt out of marketing at any time.
Some parts of our platform use AI to help draft messages or summarise information for staff. Your name is never sent to any AI system — it's replaced with a placeholder before anything is generated, and swapped back in afterwards. Emails, phone numbers and ID numbers are automatically stripped from anything sent to an AI system. Where AI is used for anything involving your course or learning, it connects directly to the AI provider under their own data agreement, not through a third-party reseller.
Our core systems are hosted in Australia. Our CRM (HubSpot) is hosted offshore — it doesn't offer a New Zealand data centre, which is standard for most major business software. We don't sell your information to anyone, and we don't share it beyond what's needed to enrol you, teach you, and meet our legal reporting obligations.
Under the Privacy Act, you can ask what information we hold about you, ask us to correct it, and ask us to delete it where we're not legally required to keep it (some enrolment and assessment records must be retained for NZQA compliance regardless of a deletion request).
